Office Staff Position Opening at the Ateneo Art Gallery: Secretary

SCOPE OF DUTIES

For regular gallery exhibitions:

1. Coordination with speakers for Artspeak once they have been invited by the curators
2. Coordinating with the accounting department any payments that need to be made by the gallery.
3. Compilation of Exhibition reports which include:
1. Correspondence between the AAG and the curators, artists participating in the exhibition
2. Condition reports
3. Attendance numbers
4. Press releases from the gallery
5. Media exposure : Clippings from magazines and newspapers, copies of tv appearances.
6. Written report from the curator (written by the Managing curator or Chief Curator) : goals of the exhibition, what was accomplished.
7. Any collaterals produced for the exhibition : catalogue, teaching aids
8. Captions, signage
9. Photographic documentation of the exhibition – photos of works being installed, installation shots, photos with visitors
10. Hard copy of any talks given in line with the exhibition/ Video documentation if any

Administrative duties:
1. Maintaining the orderliness of the gallery office.
2. Doing regular inventory of the items for sale at the gallery shop
3. Ensuring that guest lists are up to date; making sure to include new sponsors, and artists and collectors who have worked with us on exhibits.
4. Sending out press releases prepared by curators
5. Sending out invitations
6. Coordination with accounting for reimbursements, etc
7. Send gifts/ cards to patrons, sponsors, acquisition committee members,
8. Manning the reception desk of the Rizal Library Special collections building
9. Keeping track of the exhibition and event schedules of the Rizal Library Special Collections Building
10. Ensuring that the supplies of the galleries
11. Other duties as may be assigned by the Director and Managing Curator
